About the Role
We are seeking a highly detail-oriented, exceptionally organized Personal / Executive Legal Assistant to work closely with the owner of a growing law firm. This role is ideal for someone who does not let the grass grow. With some core insights, you see what needs to be done, take ownership, and keep things moving without constant follow-up.
You will provide both professional and personal support to the firm owner, helping streamline daily operations so the legal team can better serve families and businesses in the community. This is a hands-on, trusted, right-hand role requiring discretion, initiative, and follow-through. This is not a structured position but is perfect for someone who enjoys and thrives on managing a wide variety of projects.
Ultimately, you will contribute directly to the firm’s efficiency, growth, and impact by providing timely, personalized support and ensuring that the path forward is always clear.
What Success Looks Like in This Role
- The attorney’s day runs smoothly and efficiently
- Projects move forward without bottlenecks
- Tasks are completed proactively—not reactively
- Details are handled before they become problems
- Meetings are prepared for, documented accurately, and followed up on
- Understands there’s no task too small and no project too big (i.e., driving through the car wash or planning a family vacation)
- Manage owner’s calendars, deadlines, and scheduling priorities
- Assist with both business and personal projects or errands, as needed
- Serve as a trusted right-hand partner to the firm owner
- Support overall workflow efficiency for the attorney and legal team
- Prepare for meetings, including agendas, materials, and logistics
- Accurately record and organize meeting minutes and action items
- Provide general administrative and executive support
- Take ownership of new projects once given core direction and context
- Follow through on tasks independently unless clarification is needed
- Proven experience as an Executive Assistant, Personal Assistant, or similar administrative role
- Exceptional organizational skills and attention to detail
- Ability to prioritize a dynamic workload in a fast-paced, evolving environment
- Strong written and verbal communication skills (professional level)
- Proactive problem-solver with sound judgment and decision-making ability
- Comfortable working closely with a business owner on varied daily matters
- Able to act independently and move projects forward without constant oversight
- High level of discretion and professionalism, but also preferably a great a sense of humor
- Must love pets!
- Strong working knowledge of Microsoft Office (Outlook, Word, Excel, etc.)
- Ability to quickly learn and adapt to new software and systems
- Comfortable with digital task management and calendar tools
- Current New York Notary Public
- Associate’s degree minimum (bachelor's degree preferred)
